What is the minimum number of participants for a trip?
The minimum number of participants to guarantee passage of the trip may differ per departure date. Of course we strive to keep all published trips going. When participants unexpectedly cancel, an (already guaranteed) trip no longer has the minimum number of participants. The departure guarantee will then expire until the minimum number of participants has been achieved through new bookings. If this is not the case, we will check whether your trip can still continue. In that case, we will contact you to see what is possible.
Do many singles travel with you?
Single travel is becoming more and more popular; many people travel alone for a variety of reasons. There is therefore an increasing demand for special single trips. AIA Tours also offers special single trips, intended for anyone who goes on holiday alone,
Can I also travel in a private group?

Does AIA Tours have a 24 hour emergency service?
In case of emergency, those staying at home can call AIA tour during office hours on our regular number: 1 (925) 378-5193 . We can quickly find out where the group is at that moment. If contact outside office hours is necessary, we can be reached on our emergency number insert Please note that due to the adventurous nature of our tours, it is not always possible to contact the group within 24 hours.
When can AIA Tours cancel a trip that does not yet have a guaranteed departure?
AIA Tours reserves the right to cancel the trip up to 28 days before departure according to the AIA Tours cancellation policy . (Booking Terms Page)
When is the best time to book a trip?
We recommend booking a trip as soon as you pick the tour you want. Many trips, especially in the high season, fill up quickly. Prices of flights and land arrangements are always subject to availability and subject to change. So book as soon as possible.
Can I also take an option on a trip first?
If you want to think for a while or have to consult before you book a trip, you can take an option on a trip. With an option, we hold the place (if available) in the group for as long as possible.

The trip of my choice does not yet have a guaranteed departure. What now?
If the trip of your first preference does not yet have a guaranteed departure, book anyway. The sooner the minimum number of participants is achieved, the sooner we can set the trip (on the website) on guaranteed departure! Do you want to be sure that you are going on a trip? Then book.
Where can I find the booking conditions?

How do I know that my trip has been confirmed?
As soon as you receive the invoice from us, your booking is confirmed. Your invoice is the final booking confirmation for all matters concerning your booking. We aim to send you the invoice within eight working days of booking.
How and when do I pay?
Your payment is done online via AIA Tours booking page. There will be a 35% deposit at the time of booking. The final booking is done 30 days prior to the departure date. If you book 30 days out then you will need to make the full payment at time of the booking.
What insurance do I need for my trip?
AIA Tours requires all travelers to have some form of travel insurance. That will cover being sick, stolen, lost luggage. If your flight gets delayed.
I want to make a change to my booking, is that possible?
It is possible to make a change during or after booking. If you make a change to your booking that involves costs after receipt of the invoice (booking confirmation), there may also be administration costs. If you decide after booking that you want to go on another trip, this is considered a cancellation of the original trip and booking a new trip. A fee may be associated with this.
I want to extend my trip, is that possible?
If you wish to extend your trip, this is not a problem. When making the booking please let us know dates and times you wish to extend and if you want us to book extra accommodations. We can book these accommodations.
I have to cancel my trip, how can I do this?
If you unexpectedly have to cancel the trip, please do so in writing by sending an e-mail. Of course we would like to hear your story by phone first. I travel alone. How does that work?
Are you traveling alone? Then you do not necessarily have to pay the additional price for a single room. You can choose to book a Dbl (or tent if applicable). And if we end up with an odd number we will accommodate you. But if you’re wanting to do a single room hotel. Then please book a single and there will be a charge. See pricing page when booking.
Can the travel Price go up after booking?
As soon as you have booked and we have confirmed the trip by means of an invoice, the travel sum is in principle fixed. We do have the right up to 20 days before departure to increase the travel sum by a maximum of 8%, if this increase is due to fuel surcharge, taxes or other surcharges imposed by third parties that are not directly involved in the execution of the trip, such as for example an increase in tourist tax, landing charges and departure and arrival tax in ports and/or airports. We will of course do everything we can to avoid having to take this measure, but in the event of high surcharges.
What do you expect from other passengers?
Would you like a place where you can retreat for a while? Or do you already feel that your roommate is going to suffer because you snore, stay up late or often have to get up in the middle of the night? Then we strongly recommend that you book a single room at an additional cost. Do you still choose to travel ‘by layout’? Then all participants of the same sex are expected to rotate with each other. If you do get a preference for a roommate during the trip, this is only possible with the agreement of the tour guide and all participants of the same sex who also travel ‘by layout’. We expect you to respect and consider your roommate at all times, show a tolerant attitude and not cause any nuisance. If a dispute nevertheless arises, it is important to have the tour guide mediate in this. If a dispute escalates and no solution can be found, the participant causing the nuisance will be expected to book a single room and pay the additional cost for this. In extreme cases, the tour guide has the right to deny a participant further participation in the trip.

How can I report my dissatisfaction/complaint?
Our mission is to give you as a traveler the journey of a lifetime. It can only happen that something does not meet your expectations. In all cases the following applies: the sooner you ring the bell, the more we can do for you.

Do you have complaints before or after the trip?
A journey covers an entire process in which you mainly have telephone or digital contact with our office in USA before and after the trip. Are you dissatisfied with this? Let us know or submit a complaint form . Then we will see what we can do for you.
Do you have any complaints during the trip?
Sometimes a journey doesn’t go as expected. Then report this directly to your tour guide. In many cases, he can solve it for you on the spot. Do you find the solution insufficient? Go back to your tour guide and in case of major complaints, contact our office in the USA immediately. We sometimes have more options to resolve or compensate for your complaint during the trip. If you only inform us after the trip, your right to any financial compensation will also expire.
Note: if a problem happens on tour that is very concerning to you. if this issue is making your tour not what you expected. You must inform us right away.
